What this policy covers

This policy explains how Future & Form handles information submitted through our website and information we process while assessing, building, or maintaining automation for a client.

Information we collect

We may collect contact details, audit answers, communications, and the business information needed to understand or deliver a project. Our website does not intentionally collect sensitive information, so please do not include it in the automation audit.

How we use it

We do not sell personal information. We do not use client data to train public AI models. We do not use it to advertise to someone else.

Our approach to AI

AI can be valuable, but it is not infallible. We choose tools and safeguards based on the sensitivity and risk of each workflow. This may include limiting data sent to a model, using business-grade providers, testing outputs, maintaining logs, requiring human review, and avoiding automation where the risk is not appropriate.

The practical rule: access is limited to what a workflow needs, important decisions stay with people, and we tell clients where AI is being used.

Service providers

We may use reputable providers for hosting, communications, forms, automation, analytics, and AI processing. They receive only the information required to perform their function and are governed by their own security and privacy commitments. We can discuss provider choices, data location, retention, and contractual requirements before a deployment.

Security and retention

We use reasonable administrative and technical safeguards appropriate to the work. No system can promise absolute security, so we also minimize access and retention. We keep information only as long as needed for the stated purpose, our client agreement, or legal requirements, then delete or anonymize it where practical.

Your choices

You may ask what personal information we hold about you, request a correction or deletion, or withdraw consent where applicable. Clients may also request return or deletion of their data at the end of an engagement, subject to legal and backup-retention requirements.
